BEFORE the Conference:

  • Establish an objective and develop an agenda. Distribute material prior to the conference.

  • Advise all participants of the date, time, and estimated duration.

  • If needed, reserve a conference room and speakerphone.

  • Test the quality of the audio transmission.

  • Ask participants to be ready a few minutes in advance. This will assist in starting on time.


DURING the Conference:

  • A Conference Specialist will conduct a roll call.

  • Review objectives and agenda to set ground rules.

  • Minimize background noise. Ask anyone who has a speakerphone to mute it when they are not speaking.

  • Advise participants not to put their phones on hold, as their system may have hold music that will disrupt the conference.

  • For assistance dial "*" followed by "0" on a touch-tone phone.


Participants:

  • Participants may speak clearly and naturally.

  • In large conferences, participants should identify themselves when speaking.


Equipment:

  • Avoid using cellular phones and air-to-ground phones.

  • If using speakerphones, be sure to test the equipment prior to the conference.


Your Next Conference:

  • Choose a date and time while everyone is on the line.


Cancellation Policy:

  • If you need to cancel a scheduled conference, please inform Chorus Call and all the participants prior to the start of the call.
